Our 5-Step Enrollment Process — From First Call to First Day

Most families complete our entire enrollment process within 5–7 business days. Here is exactly what happens at each step so there are no surprises along the way.

Call, Email, or Fill Out the Online Inquiry Form

Tell us your child’s age, the program you are interested in, and your preferred start date. We will confirm current availability within one business day. This step takes about 5 minutes and commits you to nothing. No enrollment fee is due at this stage.

Schedule and Attend a Guided Campus Tour

Tours run most weekday mornings and take 30–45 minutes. You will see your child’s classroom while it is in session, meet the lead teacher, and ask every question you have about curriculum, schedule, and daily routines. No commitment required after the tour — take your time.

Submit Your Enrollment Application and Required Documents

Once you decide to enroll, you will complete our enrollment application and submit the required documents listed in the next section. The $75 registration fee is due at this step — it holds your child’s spot and is credited toward your first month’s tuition. See document checklist below.

Meet With Our Director — Placement Confirmation

A brief 20-minute meeting with our center director to review your child’s health history, daily routine, and any special considerations. This is when we confirm your placement, your start date, and your schedule. Bring your payment method — first month’s tuition and security deposit are due at this meeting.

Attend New Family Orientation — Then Day One

All new families are invited to a 45-minute orientation session before their child’s first day. You will meet the full teaching team, learn the drop-off and pickup procedure, review the parent handbook, and ask any remaining questions. Your child’s first day is scheduled within 1–2 weeks of orientation.

Required Enrollment Documents — Everything You Need in One Place

California state law under Title 22 Community Care Licensing (CCL) requires specific documentation for every child enrolled in a licensed childcare center. We have organized the requirements by category so you can gather everything at once — no back-and-forth.

Our Admission Criteria — What We Look For and How We Place Children

We accept children on a first-come, first-served basis within each age group, subject to space availability. There are no academic prerequisites, no entrance assessments, and no exclusionary criteria. We welcome children of all abilities, backgrounds, and learning styles.

Enrollment Priority Order

Children With Special Needs and Developmental Considerations

We welcome children with a wide range of developmental needs and learning differences. Prior to placement, we ask families to share any Individualized Education Program (IEP) or Individualized Family Service Plan (IFSP) documents so we can ensure our environment and staffing can appropriately support your child. We work closely with families and, where needed, with outside service providers to create the most supportive experience possible.

We do not discriminate on the basis of disability. If you have questions about your child’s specific needs, call us before applying — we will give you an honest assessment of what we can provide.

Toilet Training Policy

Toilet training is not required for enrollment in our Infant or Toddler programs. Children in our Preschool program are supported through toilet training as part of their daily practical life curriculum. A fully toilet-trained child is preferred for Kindergarten enrollment but not an absolute requirement — speak with our director about your child’s specific situation.

Our Waitlist — How It Works and How to Get on It

Some programs — particularly infant care and kindergarten — fill up months before the school year begins. If your preferred program is currently at capacity, joining our waitlist is free and commits you to nothing.

For infant care specifically — many Tracy families join our waitlist during pregnancy. Spots for the following September typically fill by March. If your baby is due in 2025 or 2026, we recommend reaching out now.

Enrollment Policies Every Family Should Know Before Signing

We believe informed families make better partners. Here are the policies that affect your enrollment from day one — read before signing, ask if anything is unclear.

Enrollment Agreement

Enrollment is confirmed with a signed agreement and first month's tuition + security deposit. The agreement runs for one academic year (August–July) and renews annually unless written notice is provided.

30-Day Withdrawal Notice

Families wishing to withdraw their child must provide 30 days written notice. Tuition continues to be charged during the notice period. Security deposit is returned within 14 days of the child's last day.

Probationary Period

All new enrollments include a 30-day mutual probationary period. During this window, either the family or the center may end the enrollment agreement with 5 days' notice and no penalty.

Illness & Exclusion Policy

Children showing signs of fever (100.4°F+), vomiting, diarrhea, or contagious illness must be kept home and may not return until 24 hours symptom-free. This protects every child in our care and aligns with California CDSS health guidelines.

Authorized Pickup Only

Children will only be released to adults listed on the signed authorization form. Government-issued photo ID is required at every pickup by an unfamiliar adult. No exceptions, ever — this is a California licensing requirement

Schedule Change Policy

Schedule changes (adding days, reducing hours) require 14 days written notice and are subject to availability. Same-day schedule changes are not accommodated except in documented emergencies.

Admissions FAQ — Questions Tracy Parents Ask Before Enrolling

How soon can my child start after I apply?

Most families complete enrollment within 5–7 business days. Once all documents are submitted, fees are paid, and the director meeting is complete, your child can typically start the following Monday. For infant care, a settling-in process is recommended — usually 3 short visits before the first full day.

Yes, for children 4 years and older, a TB risk assessment or skin test result is required by California Community Care Licensing regulations. Your child’s pediatrician can complete this during a well-child visit. The result must be documented on the Physician’s Report (LIC 701) form.

Yes. Under California’s SB 277 law, all children enrolled in licensed childcare centers must be fully immunized according to the CDPH schedule. Personal belief exemptions are not accepted. Medical exemptions approved by a licensed physician are accepted with appropriate documentation.

Absolutely — and we strongly encourage it. Touring while children are present and working gives you a genuine picture of the environment your child would be entering. Tours take about 30–45 minutes and require no commitment. Call or use the form below to schedule yours.

Disclose all allergies and medical conditions during the enrollment application. For allergies, a physician-completed allergy action plan must be on file before your child’s first day. Our staff are trained in allergy response protocols and CPR/First Aid. We work with you to create a safe daily environment for your child’s specific needs.

Yes. Siblings of currently enrolled children receive first priority for available spots before general enrollment opens each spring. If your older child attends our center and you are expecting or planning to enroll a younger sibling, notify us as early as possible — sibling priority placement requests are accepted year-round.
